GENERIC EVENT CANCELLATION AND REFUND POLICY

  • Entrant to advise withdrawal from an event and request a refund by email to secretary@ratscc.com.au
  • Withdrawals received more than 7 days prior to event: full refund less $15 administration fee per entrant.
  • Withdrawals received 7 days or less prior to event: no refund.
  • Entrant did not start: no refund.
  • Category changes or Entrant ubstitutions may be made prior to or on the day of the event, but a $15 administration fee may be charged.
  • If the Club cancels an event: full refund.
  • If the Club moves the date of an event and entrant requests a refund by email to secretary@ratscc.com.au: full refund.
  • Any cancellation or postponement of an event will be published on www.ratscc.com.au

SPONSORSHIP AND ADVERTISING POLICY

The club appreciates the contribution sponsors and advertisers can make to further the aims of the club and to improve the quality of events. Sponsor’s and advertiser’s values and products have to align with the mission and values of the club, as determined by the Management Committee.

The club will not enter into exclusive sponsorship deals that cover all club activity. Whilst an event may have a naming sponsor, this is not to preclude lower tiers of sponsorship, which could include particular races within the event or services.

REIMBURSEMENT OF TRAVEL EXPENSES

Club members on club business are eligible for reimbursement of travel expenses as per the prevailing Australian Tax Office rates upon approval by the Management Committee. Members should use the Travel Expense Claim Form.

REIMBURSEMENT OF EXPENSES & PAYMENTS OF BILLS

Application for reimbursement of expenses incurred on behalf of the club or payment of bills/invoices is to be made by email to treasurer@ratscc.com.au and must include the bill/invoice. Payments will be endeavoured to be processed within 5 business days.

PRIVACY STATEMENT

RATS Cycling Club Inc (RATS) is committed to protecting your privacy. This Statement of Privacy applies to the RATS Web site as well as other databases maintained by RATS and governs data collection and usage. By using the RATS website, you consent to the data practices described in this statement.

CHILD PROTECTION POLICY

RATS Cycling Club Inc (RATS) is committed to protecting all of its young event paticipants, members and non-members. As such, we are aligned with the policies of AusCycling regarding Child Safe Sport Commitment and Child Safe Sport Policy & Code of Behaviour.

COLLECTION OF YOUR PERSONAL INFORMATION

RATS collects personally identifiable information for club members and entrants in club events, such as e-mail address, name, home address, home telephone number and mobile number. RATS also collects gender and date of birth for club members and entrants in club events.

There is also information about your computer hardware and software that is automatically collected by RATS. This information can include: your IP address, browser type, domain names, access times and referring Web site addresses. This information is used by RATS for the operation of the service, to maintain quality of the service, and to provide general statistics regarding use of the RATS Web site.

Please keep in mind that if you directly disclose personally identifiable information or personally sensitive data through RATS public message boards, this information may be collected and used by others. Note: RATS does not read any of your private online communications.

USE OF YOUR PERSONAL INFORMATION

RATS collects and uses your personal information to operate the RATS Web site and deliver the services you have requested. RATS also uses your personally identifiable information to inform you of other products or services available from RATS and its affiliates. RATS  may also contact you via surveys to conduct research about your opinion of current services or of potential new services that may be offered. RATS may, from time to time, contact club members or those that have previously entered a RATS event about a particular offering that may be of interest to you. If you have elected not to be on the club mailing list, you won’t be contacted in regards to such offerings.

RATS does not sell, rent or lease its membership database or event entry database to third parties.

RATS may share data with trusted partners to help us perform statistical analysis, send you email or postal mail, provide customer support, or arrange for deliveries. All such third parties are prohibited from using your personal information except to provide these services to RATS, and they are required to maintain the confidentiality of your information. RATS as part of its affiliation with AusCycling is obliged to pass on personal information for club members.

RATS will disclose your personal information, without notice, only if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on RATS or the site; (b) protect and defend the rights or property of RATS; and (c) act under exigent circumstances to protect the personal safety of users of RATS, or the public.
